The Booking Checklist

The Booking Checklist

To help our couples ensure they’ve got every box ticked in the run up to their wedding, we’ve pulled together our own Booking Checklist. While we’re sure most are obvious, we thought it would be useful to explain some tasks in a little more detail:

check registrar or church availability

It is important to check that the registrar or church is available on your chosen date and at your chosen time. We strongly recommend doing this at the same time (if not before) booking the venue as we may not be able to transfer your booking to a different date.

While we will endeavour to support you as much as we can during the booking process, it is ultimately your responsibility to book your ceremony arrangements - we are unable to do so on your behalf.

To book your civil ceremony, contact Gloucestershire County Council on 01452 425060 (option 3) or ceremonies@gloucestershire.gov.uk

confirm caterers

If choosing an alternative caterer to those on our list, please get in touch to let us know their details so that we can ensure that they have all the relevant documentation required.

upload suppliers to Hostology

Uploading your chosen suppliers to your Hostology account will enable us to contact them directly to make arrangements and discuss timings for your day, saving you all the hassle and time.

arrange refreshments for suppliers

Some suppliers (e.g. photographers) may request that food and refreshments are provided on your wedding day. Please ensure that if you have agreed to provide food and beverages, this has either been communicated to your caterer or arranged otherwise by yourselves. Naas Court Farm are not liable to provide food and beverages to suppliers.

arrange linen delivery

Linen is not included in your hire. Dimensions, supplier links and delivery arrangements can be found on our website: https://www.naascourtfarm.com/clientinformation

appoint a secondary booking contact

As outlined in your Conditions of Hire (booking form) the secondary booking contact is appointed by yourselves and they will be our first point of contact on your wedding day.

We want to ensure that your wedding day is perfect in every way. Where possible, we would prefer not to bother you with small matters that may arise (or, at least, for glitches that we feel can be dealt with without your intervention). Ideally, the secondary booking contact will be someone of reasonable importance or authority, who will know and potentially be able to manage your guests where necessary.

arrange a date and time for your rehearsal

If you are having a civil ceremony or blessing ceremony at the farm, we think it is a good idea to arrange a rehearsal. This will likely take no longer than an hour but will give you the chance to iron out any ceremony arrangements such as wedding party seating, standing positions and the order of the party during the processional and recessional.

This can be arranged for any time in the fortnightly run up to your wedding, please email to arrange a meeting.

deliver table plans, place cards and guest favours

If you are unable to access the venue the day before (access times will be outlined in your Conditions of Hire), we will be happy to set up some of your décor for you. This includes the setting out of table numbers, place cards, favours, and table decorations.

These items should be delivered in boxes (1 per table) with plans & photos the day before the wedding.

communicate access requirements

Please inform us if there is anyone is attending your wedding who may have mobility issues are require wheelchair access. While the venue is fully equipped for wheelchair use, we would like to check ahead of time that we have made sure all elements of your wedding are accessible.
